1. Who we are
Big Weekend is operated by Christina Zaidan, a sole proprietor doing business as Big Weekend – Montreal Weekend Planning (Quebec enterprise number, NEQ 2281077802), in Montreal, Quebec. We are committed to protecting personal information in accordance with Quebec's Act respecting the protection of personal information in the private sector, as amended by Law 25, and other applicable privacy laws.
The person responsible for the protection of personal information at Big Weekend is Christina Z. She can be contacted at christina@bigweekendmtl.com.

- City or place of residence, if you provide it in an intake form.
Inquiry and planning information
- Group size and event or travel dates;
- Budget range;
- Trip preferences, such as pace, neighborhoods, activities and interests;

- Information you submit through our inquiry and intake forms;
- Communications relating to the planned weekend.
Information about other attendees
The person organizing the weekend may provide information about other members of the group, such as the bride's first name or details needed for reservations. We ask organizers to provide only information that is reasonably necessary for the services and to ensure they have the attendee's permission before providing sensitive information about them. Where appropriate, we may contact an attendee directly to confirm or obtain consent.
Sensitive attendee information
Where reasonably necessary to plan and deliver a booked weekend, we may collect dietary restrictions, food allergies, accessibility requirements, relevant health or safety limitations, and emergency contacts. We treat health, accessibility, allergy and emergency information as sensitive personal information. We collect it only when reasonably necessary to safely provide the requested services and obtain express consent where required.
Payment and transaction information
Our clients confirm and pay venues and vendors directly — Big Weekend never handles those payments. For our own planning fees, we keep transaction records such as invoices and payment status. Where a third-party payment processor is used to collect a planning fee, it receives only the information needed to process the payment.
Website and technical information
When you visit the site, our website infrastructure may process technical information such as your IP address, browser type, device type, requested pages, timestamps, referring pages and security logs.
We use Google Analytics to understand how the site is used. Google Analytics sets first-party cookies to distinguish visitors and measure aggregate usage; see the section on cookies and analytics below.
Communications
We keep emails, messages, consultation notes and other communications exchanged with prospective or booked clients.
3. How we collect information
- Directly from you, through our website forms, email, telephone calls or consultations;
- Through contracts, intake questionnaires and planning communications;
- From the group organizer, concerning other attendees;
- Automatically, through our website infrastructure and analytics;
- From service providers, where necessary to process transactions or provide requested services.
Big Weekend does not purchase personal information or obtain it from data brokers.
4. Why we collect and use information
- Responding to inquiries and scheduling consultations;
- Preparing proposals and service recommendations;
- Entering into and administering contracts;
- Planning, coordinating and delivering booked services;
- Communicating with clients and attendees;
- Making reservations or coordinating with relevant venues and vendors;
- Accommodating dietary, accessibility, allergy and safety requirements;
- Processing payments and maintaining transaction records;
- Providing customer service;
- Managing legal, accounting and tax obligations;
- Protecting the website and preventing misuse;
- Improving the website and services using aggregate usage information;
- Sending marketing communications, only where valid consent has been obtained;
- Establishing, exercising or defending legal rights, where necessary.
We identify required and optional fields where appropriate. If you do not provide information required to prepare a proposal, process a booking or safely deliver a service, we may be unable to provide the relevant service. Optional information may be withheld without affecting your ability to make a general inquiry.
5. Consent
We obtain consent that is valid, informed and appropriate to the circumstances before collecting, using or sharing personal information, unless the law permits or requires otherwise.
By submitting an inquiry or intake form, you consent to our collection and use of the information you provide for the purposes identified at the time of collection and in this policy.
Where we request sensitive personal information, such as allergy, health, accessibility or emergency information, we will obtain express consent before collecting, using or sharing it.
Consent to receive marketing communications is optional and is not required to inquire about or purchase our services. You may unsubscribe at any time.
You may withdraw consent, subject to applicable legal or contractual restrictions and reasonable notice. If the information is necessary to provide booked services safely or effectively, withdrawing consent may prevent us from providing part or all of those services.
6. Who can access personal information within Big Weekend
Access to personal information within Big Weekend is limited to the owner and any authorized personnel or contractors who reasonably require it to perform work for Big Weekend. They must handle the information confidentially and use it only for authorized purposes.
7. When we share personal information
Vendors and venues
We share personal information with the venues and vendors involved in your weekend only where reasonably necessary to deliver the booked service. For example: a name for a reservation, group size, dietary restrictions for a restaurant or caterer, accessibility information for a venue or transportation provider, or contact information for a vendor coordinating directly with you. We do not provide a vendor with more personal information than is reasonably necessary for the applicable service.
Business service providers
We use a small set of service providers to run the business. They process information for defined business purposes and are expected to protect it appropriately:
- Netlify — website hosting and processing of the forms submitted on this site;
- Make — workflow automation that routes form submissions into our business records;
- Google (Google Workspace) — email and business records, including spreadsheets where inquiry details are kept;
- Google Analytics — website usage statistics;
- A payment processor, where one is used to collect Big Weekend's planning fees;
- Providers of accounting and IT or security support, where applicable.
Legal disclosures
We may share information where required or permitted by law, including in response to valid legal process, to comply with legal obligations, or to protect the safety, rights or property of Big Weekend, its clients or others.
Business transactions
We may share personal information as part of a proposed or completed business transaction, such as an incorporation, financing, merger, reorganization or sale of the business, where permitted by law and subject to appropriate confidentiality and use restrictions.
No sale of personal information
We do not sell or rent personal information.
8. Processing outside Quebec
Some service providers may process or store personal information outside Quebec, including elsewhere in Canada and in the United States. Information processed in another jurisdiction may be subject to that jurisdiction's laws.
Before sharing personal information outside Quebec, we take the steps required by applicable law, considering factors such as the sensitivity of the information, its intended use, the safeguards in place and the legal framework applicable in the destination. We use contractual or other appropriate measures to protect the information where required.
9. Retention and destruction
We retain personal information only for as long as reasonably necessary for the purposes described in this policy and to satisfy applicable legal, accounting and tax obligations.
- Inquiries that do not result in a booking are retained for a reasonable period, in case plans change or we follow up, and are deleted when they are no longer needed;
- Planning and attendee information is retained for the duration of the engagement and then deleted when it is no longer reasonably needed for follow-up, dispute management or legal obligations;
- Sensitive attendee information, including allergy, accessibility and emergency information, is deleted as soon as it is no longer needed to safely deliver the booked services, unless retention is required by law;
- Contracts, invoices and transaction records are retained for the period required by applicable tax, accounting and commercial laws;
- Marketing contact information is retained until the person unsubscribes or Big Weekend determines that it is no longer needed;
- Website and security logs are retained in accordance with the practices of the relevant hosting and service providers.
At the end of the applicable retention period, information is securely destroyed or irreversibly anonymized in accordance with applicable law.
10. Security
We use reasonable administrative, technical and physical safeguards appropriate to the sensitivity, quantity, purpose and format of the information. These may include access controls, limited permissions, reputable service providers, secure transmission, account-security measures and procedures for safely deleting information.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If a confidentiality incident involving personal information presents a risk of serious injury, we will notify affected individuals and the Commission d'accès à l'information du Québec as required by law. We maintain records of confidentiality incidents as required.
11. Cookies, analytics and similar technologies
We do not currently use advertising cookies or cross-site behavioural tracking.
We use Google Analytics to understand how visitors use the site. Google Analytics sets first-party cookies to distinguish visitors and sessions. The statistics we work with are aggregate, and we do not use them for advertising.
Our Why Montreal page asks the Bank of Canada's public exchange-rate service for the day's US dollar rate. Like any website, that service receives your browser's IP address with the request. No cookies are set and nothing else is sent.
Essential technologies may still be used where required for site operation, security, forms, language preferences or other requested functionality.
If we introduce non-essential cookies or tracking technologies, we will update this policy and obtain consent where required.
12. Automated decisions and profiling
We do not currently make decisions about individuals based exclusively on automated processing of personal information.
We do not currently use website technology to identify, locate or profile visitors for advertising purposes.
If we introduce a feature that uses personal information to make a decision based exclusively on automated processing, or technology that identifies, locates or profiles individuals, we will provide the information and choices required by applicable law before using it.
13. Your privacy rights
Subject to applicable law and any permitted exceptions, you may:
- request access to the personal information we hold about you;
- request correction of inaccurate, incomplete or unclear information;
- withdraw consent to certain uses or disclosures;
- request that we stop disseminating personal information, or de-index a hyperlink associated with your name, where the legal conditions are met;
- request information about the categories of people who have access to your information and the applicable retention period;
- request that computerized personal information collected from you be provided to you — or, where legally required, to another authorized person or organization — in a structured and commonly used technological format;
- ask questions or submit a complaint about our privacy practices.
To exercise a privacy right, contact Christina Z., the person responsible for the protection of personal information at Big Weekend, at christina@bigweekendmtl.com.
We may take reasonable steps to verify your identity before responding. We will respond within the period required by law, generally within 30 days. If we refuse a request in whole or in part, we will provide the reasons for the refusal and information about available recourse where required.
